AI board reporting for Australian finance teams

AI board reporting means the management accounts and the board pack are assembled from the ledger and the close without rebuilding them by hand each month. Variance commentary is drafted from the figures and last month's notes, and each number links to its source. The CFO or finance manager edits and signs off the pack.

Architecture

Everything runs on your servers

We build it on an open-weight model such as Llama or Mistral, served with vLLM on NVIDIA GPUs in your server room or data centre. Ledger extracts are modelled with dbt and scheduled with Airflow or Dagster, the pack is built in your template, and the system reads from the ERP you already run. Forecast inputs come in from budget owners and are checked against actuals.

It takes four jobs off the finance manager

  1. 01

Management accounts and the board pack

The pack is assembled in your template from the ledger and the close. Tables, charts and prior period columns are filled, and the layout stays the same each month.

  2. 02

    Variance commentary

Commentary is drafted from the figures and last month's notes. Each number links to the ledger lines and documents behind it, so the reviewer can check any line.

  3. 03

    Forecast inputs from budget owners

Requests go to each budget owner on a schedule, in your words, and a person approves them before they go. Replies are read into the forecast template.

  4. 04

    Forecast checked against actuals

Each input is compared with year to date actuals. Lines that differ from the trend are listed with the figures beside them, and FP&A owns the assumptions.

It goes live in five steps

  1. Step 01

    Collect past packs

Several months of board packs, management accounts and the commentary written for each, with the ledger data behind them. This is the test set and it decides the design.

  2. Step 02

    Map the pack

We sit with the finance manager and list every table, chart and note in the pack. Each one gets an owner and a source system.

  3. Step 03

    Test against past packs

The system assembles packs for months that are already closed. The drafts and commentary are compared with what the team issued, and the results set which sections go first.

  4. Step 04

    Run in shadow

The team builds the pack as usual while the system assembles a draft beside it. They mark each miss, and those marks feed the evaluation set.

  5. Step 05

Finance manager edits and signs off

The draft reaches the CFO or finance manager with every number linked to its source. A person edits the commentary and signs off the pack, and the log records the documents each draft read.

Software or a custom build

If you run Xero or MYOB for one entity and the pack is a standard set of statements, use the reports in the ledger first. A custom build earns its cost when the pack draws on several ledgers and systems, when commentary is written by hand each month from the last pack, or when ledger and budget data cannot leave your environment.

In practice

We build this on servers you own. The model, the pack builder and the logs sit inside your environment, and ledger, budget and payroll data is not sent to a public AI service. The data pipelines fall under AI data engineering, and the drafting under AI agents and workflow automation.

The ASIC record keeping guidance says a company must keep up to date financial records. They must correctly track and explain its transactions, financial position and performance. They must also allow accurate financial statements to be prepared and audited. Each figure in the pack keeps a link to the ledger lines and documents behind it, so a director or an auditor can follow a number back to its source.

The pack is built from the books that AI month-end close prepares. Where the reviewer sits is covered in where to put the human, and the checks that run on every draft are covered in LLM evaluation and observability. The wider picture for finance teams and accounting practices has its own page.

Questions

What is AI board reporting?

It is the assembly and drafting that happens before the CFO reads the pack. The system builds the management accounts and the pack from the ledger and the close, drafts variance commentary and links each number to its source. The CFO or finance manager edits and signs off the pack.

Does the AI issue the board pack?

No. The CFO or finance manager edits and signs off every pack. The system assembles the draft and the commentary and shows the source behind each number. The log records the documents each draft read.

How do we check where a number came from?

Each figure and each line of commentary links to the ledger lines and documents behind it. The reviewer opens the source from the pack and checks it against the draft.

Do we need to replace our ERP or reporting tools?

No. What we build reads from the ledger and ERP you already run, such as NetSuite, SAP Business One, Dynamics 365 or MYOB Acumatica, and builds the pack in your template.
