AI quoting for trades, wholesalers and service businesses

AI quoting means a draft quote produced from whatever the job arrived as: a site visit, an email or a photo of a handwritten list. It uses your own pricing and template, and a person checks and sends it. The quote goes out the same day instead of four days later, and the owner gets their evenings back.

What AI quoting does

Quotes from site notes and photos

Voice notes, photos and a rough scope from the site visit become a draft quote in your template. It is priced from what you charged and won with before.

Quotes from customer emails

The system reads an email or PDF request and matches it to your products and pricing rules. The rep who owns the customer confirms the draft.

Customer specific pricing applied

Contract rates, customer tiers and negotiated prices come from your system rather than a spreadsheet. The draft uses the right prices the first time.

Follow up

Open quotes are chased at the right time, in your voice, with a person approving each message before it goes.

Software or a custom build

Most job management and inventory platforms now have quoting built in and are adding AI to it. If your quotes are simple and your pricing lives in the platform, use that first. A build makes sense in three cases. Your pricing rules are specific to you. Requests arrive in messy formats. Or a quote needs data from several systems.

How it works in practice

Every step depends on the one before it, and skipping the first two is how these projects stall.

  1. Pull your pricing and past quotes

    Won and lost quotes, customer pricing and current supplier rates from the platform you already run. This is what the drafts are built from.

  2. Test on last quarter's quotes

    Draft the quotes you already sent and compare. That shows the error rate and which job types to start with.

  3. Draft from whatever arrives

    Site notes, photos, emails or a PDF request become a draft in your template, inside your platform, priced from your own history.

  4. A person checks and sends

    The owner or rep reviews the draft, adjusts and sends. Review takes about ten minutes instead of an hour. Nothing goes to a customer unreviewed.

  5. Follow up runs on a schedule

    Open quotes are chased at the right interval in your voice, with each message approved before it goes.

For a meat distributor, quotes and sales orders are drafted by an agent from the customer's text or WhatsApp message, priced from the product database the business already keeps.

In an illustrative electrical contractor engagement, quotes went from four days to same day. The owner got about twelve hours a week back. Quote to job conversion rose by around nineteen percent in the first quarter. Most of that came from speed and from chasing the quotes that used to go quiet.

For a building products distributor, also illustrative, drafting orders and quotes from customer history returned about four hours a day to each sales rep.

Questions

Will AI quotes sound like us?

Yes. Drafts are built from your own past quotes, pricing and template. Nothing goes to a customer without someone in your business approving it.

We use ServiceM8 or simPRO. Does this replace it?

No. Your platform stays the system of record and the drafts appear inside it. What we remove is the manual work before and after.

How fast can quotes go out?

Typically the same day as the site visit or the enquiry. The draft is usually waiting by the time the person is back at a desk or a phone.
